Yes, you sure can. Just send us an email ahead of time to ensure availability at the hotel or to recommend alternative accommodation if the hotel has sold out.
Please make sure you are happy with your group trip itinerary before booking because we are unable to change them for individual travellers. You can choose to opt out of some activities and we generally provide free time outside of the group itinerary. Alternatively we could plan an individual itinerary as a private trip at an additional cost.
Although you won’t be reimbursed for any portion of the trip unused, you can opt to sign off the trip if you need to leave a day or so earlier. If you let us know before travel that you’ll be arriving late or need to leave before the trip ends, we will notify our team on the ground to best accommodate your requirements.
This is the beauty of Epic Travel tours: Many of our travellers join because they are travelling solo and want to meet and share experiences with like-minded people.
Yes you can request this at the time of booking, at an extra cost. Generally our group trips are designed on a twin share basis so that you get to know other awesome travellers.

You can send us an email, detailing your request in advance, and we will attempt as much as possible to meet these or make recommendations depending on the request.
We will try our very hardest to accommodate all dietary requirements but in some out-of-the-way places it can be very difficult to guarantee. We will let you know if there are places on your itinerary where this is the case. Please let us know at the time of booking of any food requirements or allergies and we’ll pass the information onto your leader. It is also a great idea to bring a card with your dietary requirements written in the local language for those times you are eating away from the group.
We strongly recommend all travellers are covered for medical expenses including emergency repatriation and have a policy that also covers COVID-19, personal liability, cancellation, curtailment and loss of luggage or personal effects. We highly recommend purchasing full coverage, cancel for any reason travel insurance to ensure that you are covered during the trip. We typically provide a full list of travel insurance options for you to choose from, however, purchasing travel insurance is your responsibility.

Covid-testing is only required if the destination you are travelling to mandates it. Some destinations may also require vaccinated travellers to present a negative COVID test upon entry. Travellers are responsible for all COVID testing costs and must be prepared to show test results to any parties that require them on tour including, but not limited to, airlines and other suppliers.
No. Epic Travel Tours does not require travellers to be vaccinated, however, vaccination requirements are subject to change based on governmental requirements and safety guidelines.Your email information pack will have all the details once you have secured your deposit.
We require all travellers to wear a mask on tour if and when required by local law, other relevant authorities, or at the direction of Epic Travel Tours staff.
Some aspects of your tour experience might be impacted by local restrictions such as businesses operating at reduced hours and/or reduced capacity, weather conditions or other extenuating circumstances. In some rare cases, we may need to adjust the itinerary. Restrictions and itinerary adjustments will be communicated to travellers before departure.
While we do include information in our Essential Trip Information about visa requirements and provide additional information about visa and health requirements in our emails, we always recommend that passengers check with their local embassy as visa rules can change without warning. Embassy websites in your home country will always have information about requirements, visa costs and will provide the required forms. If you are uncomfortable with the visa process, you can visit a travel agent who can arrange these for you at a cost.

There are certain destinations, such as Central Asia and Iran, where you will need support documentation from Epic Travel Tours in order to apply for your visa. The ‘visa section’ of your Essential Trip email Information will include information about what you need to send to us (scanned passports, employment letters etc.)
Our Essential Trip email Information includes a section on ‘Spending money’. Please refer to this for an idea on budgets. Travellers’ cheques are not common practice anymore so it is a good idea to travel with a credit card and ATM card, or a bank issued ‘cash card’ specifically for travel. Having a couple of options will assure that you are covered if one doesn’t work. In certain countries it comes down to potluck if you can withdraw money. One day it’ll work, the next it won’t, but it will work for your friend… Go figure! Visa cards are more widely accepted than Mastercard, particularly in Cuba where only Visa cards are accepted.

Generally we email you with all the relevant country information once you have paid your deposit. This includes details about the weather, suitable clothing, amenities, currency and acceptable forms of payment, wifi and connectivity.
To proceed with a booking please click on the orange ” PAY HERE” button to pay your deposit and reserve your spot. Once we receive this your request will send you a confirmation as well as a full detailed itinerary of the trip.
No, once your deposit is made, there are options to pay monthly, up to 30 days before your departure
Yes, we have flexible monthly, bi-monthly or quarterly payment options in place. Send us an email if you need to discuss this.
We accept all major debit and credit cards as well as payments made via PayPal
We understand that priorities shift in the wake of a crisis which might put a financial strain on some guests – if you are unable to keep up with your monthly payments during this time, please do send us an email and we can rearrange your payments schedule to enable you to catch up with your payments at a better time.
If you are having trouble keeping up with payments please send an email to our support team. If you miss one payment simply catch up within 14 days of the payment due date. However, if you miss two consecutive payments, you will receive a notice email, after which you may be withdrawn from the plan altogether.
To secure your spot on the trip of your choice, simply pay your deposit to confirm your interest!
Make payments according to your trip schedule. Pay your installments bi-weekly, monthly or at once. Be sure to keep up with your monthly deadlines.

We understand that circumstances change in life and you may need to postpone or re-book your trip. The deposit is non-refundable, to take into account the opportunity and planning costs. However, any payments made up to 30 days before the trip are fully refundable or transferable to another trip or another individual. Email us with a detailed explanation of your circumstances.
If you’re thinking about cancelling, we’d love to talk. We have some great options that may save you money and help you take that trip of your dreams. If you’re over 60 days away from departure, switching to another trip is easy! Simply send an email to info@epictraveltours.co.uk and move your payment balance over to another trip of your choice – this could be a Group trip or a private experience. All trips cancelled less than 60 days before the confirmed departure dates are subject to our cancellation policy.
If you have booked a private experience this may be subject to fees if your accommodation and activities have been booked and are non-refundable from our partners.

You can cancel or amend your trip up to 30 days prior to trip departure. Any differences in trip costs between your original and new booking will still be applicable.
All trips cancelled less than 30 days before the confirmed departure dates are subject to our cancellation policy.
All deposits are non-refundable, however your payments are protected when cancelling – you can always hold your payments as a credit or transfer to a future trip of your choice or another individual when making a cancellation.
Cancellations within 30-60 days of your departure date are subject to a 50% cancellation fee of the total amount paid after the deposit. The remaining 50% balance will be applied as a credit towards a future trip.
Cancellations made within 30 days of the scheduled departure date or less are subject to a 100% charge of the total amount paid after the deposit.
If your trip is postponed or cancelled officially by our team due to travel restrictions or any other reasons, you can reschedule to a different trip or a later date for free, or receive a future travel voucher for all balances paid thus far.
